Invoices
Create, manage, and track invoices directly within QuoteLicense. Invoices can be generated from accepted quotes or created from scratch.
Creating an Invoice
From a Quote
- Go to Quotes and find an accepted quote
- Click Convert to Invoice
- Review the pre-filled details (items, amounts, client info)
- Adjust payment terms if needed
- Click Create Invoice
From Scratch
- Navigate to Invoices in the sidebar
- Click + New Invoice
- Select the client (or create a new one)
- Add line items with descriptions, quantities, and unit prices
- Set the due date and payment terms
- Save the invoice
Invoice Statuses
| Status | Meaning |
|---|---|
| Draft | Being prepared, not yet sent |
| Sent | Delivered to the client |
| Viewed | Client has opened the invoice |
| Paid | Payment received |
| Partially Paid | Partial payment received |
| Overdue | Past the due date, unpaid |
| Cancelled | Invoice has been voided |
Invoice Actions
- Preview — See the invoice as the client sees it
- Download PDF — Export as a branded PDF document
- Send — Email the invoice to the client
- Record Payment — Mark full or partial payment received
- Duplicate — Copy an invoice for recurring billing
- Void — Cancel an invoice
Branding
Invoices use the same branding as your quotes. Configure your:
- Company logo
- Brand colors
- Company address and trade license number
- Bank details for wire transfers
- Custom footer notes
Go to Templates to update your branding.
Tips
- Set clear payment terms (e.g., "Net 15", "Net 30") to avoid confusion
- Use the dashboard to monitor outstanding and overdue invoices at a glance
- Convert quotes to invoices in one click to save time
